Security & Compliance
Governance-grade integrity, auditability, and operational controls for condominium voting. Secure online condo voting software for Ontario condominium governance—designed to support condo AGM voting and condo special meeting voting with audit-ready voting records and defensible controls.
Vote Integrity
One vote per unit per ballot—no duplicates, no conflicts. Each vote submitted through the platform is recorded as a permanent database record and is associated with a specific unit and ballot. The system enforces one vote per unit per ballot at the database level, preventing duplicate or conflicting votes under all operating conditions, including retries, concurrent submissions, or network interruptions.
Votes cannot be modified or deleted through the application once submitted. All vote submissions are timestamped and preserved as part of the official voting record.
Key guarantees:
- One vote per unit per ballot (database-enforced)
- No vote modification or overwrite through the application
- Vote records preserved for audit and verification

Result Accuracy
Same votes, same results—every time. Voting results are calculated using deterministic tallying logic that processes all valid votes consistently. For each unit, the system determines a single effective vote per ballot based on eligibility and submission timing rules.
Director elections, removals, and other voting types are resolved strictly according to the configured ballot rules and seat counts. Given the same vote data, the system will always produce the same results.
Results are generated only after voting has concluded, ensuring that published outcomes reflect the complete and final voting record.

Immutability & Data Integrity
Once accepted, a vote is permanent—it cannot be modified or deleted through the application interface. It becomes part of the permanent voting record.
Vote uniqueness and integrity are enforced by database constraints rather than relying solely on application logic. Invalid voting states (such as duplicate votes from the same unit) cannot be represented in the system, even under edge-case conditions.

Auditability
Audit records support reconstruction of voting activity for governance and review. The platform maintains comprehensive audit records for all voting activity, including vote submissions, proxy submissions and revocations, voting state changes (open, close, adjournment), and quorum and attendance tracking.
Audit logs record timestamps and contextual information required to reconstruct the sequence of events during a meeting.
For legal or audit purposes, the platform can generate evidence reports using anonymized unit identifiers. The mapping between anonymized identifiers and actual units is stored separately and protected by restricted access controls.

Fairness & Eligibility Enforcement
Only eligible units may vote; rules are applied consistently. Eligibility rules are applied uniformly across all participants based on the authoritative voting roll for the meeting.
When both proxy and live votes exist for a unit, the system applies clear precedence rules to determine the effective vote. Owners who attend meetings may override earlier proxy submissions; the intent of owners who do not attend is preserved. The system enforces these rules consistently and prevents multiple votes from being counted for the same unit.

Quorum Verification
Quorum must be met before voting proceeds. Quorum calculations are based on the condominium corporation's authoritative unit count and validated participation records.
The system prevents double-counting by ensuring that units represented by proxies are not simultaneously counted as present through live check-in. Quorum requirements must be satisfied before voting can proceed.

Access Controls
Access to voting operations, results, and reports is restricted by role and authorization.
Property managers and meeting chairs have access appropriate to their operational responsibilities. Owners can access only their own voting activity and meeting information.
Legal and audit reports containing anonymized data require explicit administrative authorization. Operational access and owner access are strictly separated to protect voter privacy.

Platform Security Summary
The platform implements the following core security controls:
- Database-enforced vote uniqueness and integrity
- Deterministic, reproducible result calculations
- Comprehensive audit logging
- Role-based access controls
- Anonymized audit reporting capabilities
- Designed for operational reliability during live meetings
Regulatory Context
The platform supports voting processes commonly used by Ontario condominium corporations, including unit-based voting, proxy handling, quorum verification, and auditable record-keeping. It provides technical tools to facilitate compliant governance operations.
Determinations of legal compliance with the Ontario Condominium Act, by-laws, or meeting procedures remain the responsibility of the condominium corporation and its legal advisors.
